What's it Look Like?

  • Snack must be consumed on site
    • they may take one of the two items with them if it is non-perishable
  • They can not share with adults
    • Food must be eaten by kids
      • If they aren't going to finish something- throw it away.
        • Yes, I know that's wasteful

  • Make sure kids are following their rules and know what they are
    • Set them up for success
    • If they don't follow the rules their snack may not count
  • Make sure kids sign in
  • Make sure they're taking all snack components
    • If they don't it can't be counted as reimbursable
  • Don't discriminate

Let me reiterate, don't discriminate. Justice For All poster must be on display in a public area of your site

What's it Look Like?

The cart components:

  • Tubs or cooler for each item
  • Signs with the program rules
  • Goody Box:
    • Unopened unwanted snack items go here, kids who want more snack can take from there.

As long as each kid takes all the snack items it is a reimbursable snack- even if they put half or more unopened items in the Goody Box.

Using CACFP money we purchased storage tubs. All the food items take up 4 shelves.

  • 3-4pm cart is rolled out by the counter
  • kids write their first name, age and time
  • they take their snack
  • Some days we have a volunteer at the cart
  • Some days a staff person monitors it and steps away when they need to provide other help

  • We have to keep ingredient lists for 7 years.
    • We have to keep all records for 7 years

Oddities of a federal program

What's it Look Like?

  • CACFP- there are restrictions for sugar amounts in yogurt and cereal
    • CACFP- no more than 23g per 6oz of yogurt and 6g per dry ounce of cereal
    • SFSP- it's all good

  • Frozen yogurt vs. frozen yogurt
    • SFPS- you can freeze yogurt and serve it
    • CACFP- do that and it's frozen yogurt and that's a dessert and not reimbursable

    • CACFP- nope, not a requirement

Claim submitter: Janelle, finance & accounting manager

Menu help: Shannon, FT employee at Deer Park

Handing out snack: many, trained volunteers and staff on site

Fortunate to Have

Workload as a Sponsor Administrator

I am responsible for:

  • Annual application renewals
    • Watching 2 webinars
    • Getting Fire Inspection
    • Waiver from Health Department
    • Completing WINS application
  • SFSP site evaluations
    • 2-3 annually
  • Readying materials for OSPI evaluations
    • If you do great you have less of these
  • Annual staff training
    • Site Administrator can do this as well
  • Second set of eyes for the menu

Workload as a Site Supervisor

You are responsible for:

  • Day to day operation
    • Are they following the rules? 
  • Giving staff and volunteers mandatory training
    • Having them sign the training document
  • Sharing (or delegating this part) the tally sheet with our finance person who will make the monthly claim

What Could Possibly Go Wrong

Partner up with someone near you and discuss- Why do you think this won't work for your location (besides not qualifying as a site)?

Even Though You're Already Convinced...

Why It's Totally Worth Doing Anyways

  • Kids are getting thoughtful snacks
  • Petty problems with the "After school Crowd" have DRASTICALLY decreased
  • We take pride in what we're doing
  • Did I mention we're feeding hungry children?

When to Apply?

CACFP: you can start/submit your first application anytime during the local school year

  • Renewal happens in September

SFSP: Webinars happen in April, application in May.

  • Renewal happens each May

Both programs have dedicated staff at OSPI to assist.

  • The CACFP specialist list by county is in the Google folder.
