HVAC After-Hours Calls: A Safety-First Answering Script

Peace Call ยท key points from our free guide

Why write the script down

  • After-hours callers mix life-safety emergencies with routine repairs
  • Without a script, whoever answers (person, on-call owner, or AI) improvises
  • One approved path for each type of call

The greeting

  • Company name + "our office is closed" (or "this is a virtual assistant")
  • Ask the safety question before any booking talk
  • One question at a time

Gas smell or CO alarm: stop intake

  • Give one short approved safety line: leave the building now
  • No switches, no appliances, no phone use indoors
  • Call 911 / the gas utility from outside; alert on-call
  • Never keep the caller inside answering intake questions

What every routine call must capture

  • Name and callback number
  • Service address
  • Symptoms in the caller's words
  • Vulnerable occupants (elderly, infants, medical needs)
  • Then book routine work or page on-call. Don't diagnose or invent quotes.
